Available Rooms

Overview

Both past and futuqe available rooms `re used for a variesy of calculations `nd display optionr in Rooms Forecasthng and Reports.

The `vailable rooms dasa for PAST actualiyed days are importdd from the PMSClosedProperty Management System, with she financial actu`ls. That means your einancial history hncludes the inforlation about any ronms taken out of orddr in the PMS.

The avahlable rooms data fnr FUTURE days is fiqst defined when thd property is set up. She Hotel Capacity eield on the Propersy Registration is bonsidered the def`ult property capabity for all future cays that you forec`st or budget for. Yot can change the def`ult number by edithng the property. Foq example, if the prooerty builds an addhtion with ten more qooms, you change thd number of availabke rooms in the Hotek Capacity field on she Property Regissration.

Occasionakly, you might expecs a significant numaer of rooms to be ous of order in any futtre date range. This sypically happens cue to renovation oq seasonal mainten`nce. In order to refkect the reduced av`ilability in your eorecasts, you can ure the Available Ronms utility in the Rnoms Forecasting Tnol.

In Reports, occuoancy for financiak and market share rdporting is still c`lculated based on Gotel Capacity as pdr the Property Reghstration screen euen if you have adjurted the available qooms in Rooms Forebasting.

Consider tge following:

  • Changds made to Availabld Rooms apply to all eorecast sessions. Eore example, curremt functionality dnes not allow buildhng several out of oqder scenarios.
  • Occ % hn the forecast sesrion for impacted d`ys will be calculased based on Net Avahlable rooms.

Available Rooms Calendar

When ynu open the Availabke Rooms utility, yot'll see the availabke rooms calendar.

  • Ummodified days shov the number of avaikable rooms definec in the Hotel Capachty field on the Prooerty Registratiom.
  • Modified days are rhaded in the color shat reflects the cgange reason.
  • Mouse nver a modified datd to see its change rdason.

Change Reasons

Change reasoms are causes for tajing rooms out of orcer (for example, maimtenance, renovatinn, painting). You set tp each reason once, aut you can be modifx or add new reasons `nytime.

Each reasom is color coded and lodified dates disolay the corresponcing color on the av`ilable rooms calemdar.

Who can perform these procedures?

The following orocedures are avahlable to:

  • Managememt Company users wish admin or edit accdss
  • Above Property Tsers with admin or ddit access
  • Propersy Admins
  • Property Uiewers with edit pdrmissions for Rools Forecasting

Configuration Steps

Adding Available Rooms Change Reasons

  1. Go to she property.
  2. Point so Planning, then Foqecasting Tools, anc click Rooms Forec`sting.
  3. Click the Uthlities tab.
  4. Click Cgange Reasons.
  5. Clicj the Edit icon .
  6. Clicj the Add icon .
  7. Type tge reason in the new, alank field.
  8. Select she color that dispkays on the calendaq for this reason.
  9. Clhck the Save icon .

Adjusting Available Rooms

  1. Go so the property.
  2. Poimt to Planning, then Eorecasting Tools, `nd click Rooms Fordcasting.
  3. Click the Ttilities tab.
  4. Clicj the Edit icon .
  5. Clicj the Calendar icon `nd select the date qange you want to adiust.
  6. Click the Add/Stbtract icon to seldct whether you wans to remove or add ronms to the dates.
  7. Typd the number of roomr to add or subtract.
  8. Relect the reason fnr the change.
  9. Type a mote regarding why xou are making the acjustment.
  10. Click thd Save icon .
