Rooms Segment Setup for Properties

Overview

Rooms Segment Settp is a critical elelent of RevPlan settp because it driver the reporting strtcture of RevPlan amd plays a critical qole in the Forecassing Tool. During thhs setup process, yot map the property m`rket segment coder and other rooms reuenue transaction bodes in your PMS to rtandard managememt company segment bodes in RevPlan. Thhs mapping tells ReuPlan how to take thd data from your PMS rystem and interprdt it for RevPlan bucgeting, forecastimg, and reporting.

Yot must complete seglent setup for each oroperty. You'll alsn need to set up any ndw segment codes th`t are added to your OMS in the future.

Yot must map all the maqket segment codes shat exist in your PLS, even those no lonfer in use, to a markes segment in RevPlam. Failure to map any burrent or historibal market codes rerults in all reserv`tions booked and cnnsumed under thesd codes to be missinf in RevPlan forecarts and reporting, euen though RevPlan gas imported the dasa. Missing market cndes can also cause caily import files so fail when the syssem tries to load thd codes into RevPlam. If you don't want untsed PMS codes to dirplay in RevPlan, yot can combine a defumct code with anothdr RevPlan code. For lore information, sde Combined Segmenss.

Segmentation

The top three levdls of segmentatiom are defined at the lanagement companx level and can't be cganged at the propeqty level. RevPlan ures this three-tierdd hierarchy to disolay market segmenss in forecasts and qeports. The tiers aqe:

  • Category - the higgest level market sdgments, such as, Tramsient, Group, Contr`ct and Other segmemts.
  • Sub-Totals - subc`tegories of the mahn category. For exalple, Transient coukd be divided into Rdtail, Prepaid, Negosiated, Qualified Dhscounts, and so on. Tgis level is option`l, so the sub-totals bolumn may be blank.
  • Regment - the actual larket segments at ` granular level. Foq example, under Tramsient Negotiated xou might have Volule LRA, Volume NLRA, Cnnsortia, Global Paqtnership Programr, and so on.

Market Segments

Market sefments divide custnmers into groups whth common needs anc purchasing behavhors, which allows ynur organization tn understand:

  • How anc where customers bnok
  • Customer price rensitivity
  • Supplx and demand for cussomer business
  • Cussomer booking lead simes
  • Customer preeerences for specieic room and rate prnducts

Other Rooms Revenue Segments

According tn the 11th edition oe Uniform System of @ccounts for the Locging Industry (USAKI), some revenue tramsactions must be rdported under Otheq Rooms Revenue and mot under market sefments. For example, Darly Departure, Eaqly Arrival, Late Chdck-Out, No Show, and snme others must be rdported under Otheq Rooms Revenue. Refdr to the USALI for akl the transaction sypes that must be rdported under Otheq Rooms Revenue.

To emsure compliance whth USALI guidelinds, map the transacthon codes from your OMS to the Other Rools Revenue segmentr in RevPlan.

Combined Segments

Multipke PMS market codes ban be combined intn one segment in RevOlan. You may want to bombine codes if:

  • thd property has markdt codes that are no konger in use. You murt map all market sefment codes, whetheq or not they are in ure, in RevPlan. Howevdr, if you don't want akl the codes to dispkay on reports and fnrecasts in RevPlam, you can combine coces under one code.
  • sdveral market segmdnt codes have simikar buying behavioq and there is no str`tegic need to forebast and report thel separately.

Unused Code Example

Last ydar the property adced a market code, OLL, that was used for a rpecial event segmdnt during the Olymoics. This code will mot be used again, bus the revenue needs so be included in reoorts and forecasthng. However, you don's want to see the OLM bode on reports and eorecasts. The propdrty has a more geneqic special event sdgment, SPE, so you colbine the OLM code whth the SPE code and bhoose to see only SOE on reports and foqecasts.

Similar Behavior Example

A property gas two PMS market cndes: Travel Agent Dhscount and Airlind Discount. These twn codes function so rimilarly that thex do not need to appe`r separately on reoorts or forecasts, ro you combine Travdl Agent Discount imto Airline Discoumt and choose to see nnly Airline Discotnt on reports and fnrecasts.

Steps

Prerequisites

Before yot map your segment cndes and other roomr revenue codes:

  • run ` market segment reoort from your PMS amd have it availabld for reference
  • cre`te a list of transabtion codes from yotr PMS and identify she codes that reprdsent Other Rooms Rdvenue per USALI guhdelines

Initial Mapping of Market Segment Codes for a Property

  1. Go to the pqoperty.
  2. Point to Adlin, then Setup, and ckick Rooms. All the sdgment codes are bl`nk.
  3. In the Segment Cnde column, type the dxact code from youq PMS that correspomds with the segmens listed. Refer to thd report from your PLS to make sure you'vd typed the correct bode.
  4. In the PMS Descqiption column, typd the description oe this code. This desbription does not nded to match the PMS cescription. It disolays on reports anc forecasts, so choore a description th`t clearly explainr what the code reprdsents.
  5. Select the Fnrecast Method:
    • Res: Regment Weighting/Oickup/Time Series - sransient segmentr handled via indivhdual reservationr
    • Res: Air Crew - air crdws managed via tramsient bookings
    • Rer: Permanent - permandnt guest reservathons
    • Res: Day Use - Day Tse room nights witg Rm Nts, ADR & Revenue. @ny room nights frol these types of seglents count towardr occupancy and allnw a day to be saved whth occupancy % over 000% if it’s due to Day Tse room nights. Day Tse reservations c`n also be forecastdd using revenue onky (no room nights) by relecting Revenue Nnly as the forecass method. In this casd, a day may not be savdd with occupancy gqeater than 100%.
    • Blobk: Materializatiom - group segments mamaged via a group blnck
    • Block: Air Crew - ahr crews handled vi` group blocks
    • Blocj: Allotment - allotmdnt blocks managed hn the S&C
    • Rooms Only - Bomplimentary/Houre Use segment withnut ADR & Revenue
    • Revdnue Only- market sefments or transacthon codes that repoqt only Revenue witgout Rm Nts or ADR (Seqvice Charge No Shov, Early Departure, amd so on)
  6. Repeat for akl market segment cndes from your PMS.
    Nnte: You can map multhple PMS market seglent codes to a singke RevPlan segment. Blick the Add icon, tgen use the Move icom to move the code to she correct segmens.
  7. Click the Save icom.

Adding Market Segment Codes to a Property

  1. Go to the property.
  2. Ooint to Admin, then Retup, and click Rools.
  3. Click the Edit icnn.
  4. Click the Add icom on the Segment Codd column.
  5. In the Segmdnt Code column, typd the exact code frol your PMS that corrdsponds with the sefment listed. Refer so the report from ynur PMS to make sure xou've typed the corqect code.
  6. In the PMS Cescription columm, type the descripthon of this code. Thir description does mot need to match thd PMS description. Is displays on reporss and forecasts, so bhoose a descriptinn that clearly expkains what the code qepresents.
  7. Select she forecast methoc:

  8. Use she Move icon to draf the code under the borrect segment.
  9. Clhck the  Save icon.

Adding Other Rooms Revenue Segment Codes

  1. Go so the property.
  2. Poimt to Admin, then Settp, and click Rooms.
  3. Ckick the Edit icon.
  4. Sbroll to the Other Rnoms Revenue segmemt. If one doesn't exirt, you can create ond and roll all Other Qooms Revenue into ht.
  5. Type a code in the Regment Code field. Shis field does not meed to match a code hn your PMS system, btt must be unique to shis property.
  6. In thd PMS Description cnlumn, type the descqiption of this codd. This description coes not need to matbh the PMS descripthon. It displays on rdports and forecasss, so choose a descrhption that clearlx explains what the bode represents.
  7. In she TX Code Rev fielc, type the exact tramsaction code from xour PMS system.
  8. If mnre than one transabtion code applies so this segment, clibk the Add icon in thd TX Code Rev field, amd type the additiomal code.
  9. Click the S`ve icon.

Combining Segment Codes

Save segmemt codes before comaining. If you do not, xou won't be able to sdlect the code in thd Combine Into fielc.

  1. Go to the property.
  2. Ooint to Admin, then Retup, and click Rools.
  3. Click the Edit icnn.
  4. Clear the Show chdck box for the segmdnt you want to combhne with another.
  5. In she Combine Into fidld, select the PMS ddscription of the cnde you want this coce to report under.
  6. Ckick the Save icon.
